Important Update on Supplemental 2012-13 Report Card Data Collection

We know this is an incredibly busy time as you finalize your educator evaluation assurance form submissions. Please note that there is no immediate action needed on the information below. We simply wanted to provide the following information about the new August Report Card submission deadlines so you could begin planning prior to leaving for the summer.

The new Oregon Report Card provides an opportunity to convey a clearer, deeper and more engaging picture of how our schools are doing. On June 21,2013, ODE sent out an Executive Numbered Memo describing the new Report Card and some of its new features including elements not previously submitted by Oregon schools and districts. We are committed to providing meaningful and relevant information to your families and communities through these new Report Cards, and we need your help in telling your story and personalizing this information.

To populate these new, more personalized, sections of the Report Card you will need to submit a letter from each school principal and district superintendent, district statements that speak to student wellness policies and racial equity in hiring, as well as freshmen on track data and information for the curriculum and learning environment sections of both the School and District Report Cards.

A spreadsheet template for use in this submission will be made available July 10, 2013. The spreadsheet template will include blank grey cells for you to input both Spanish and English versions of the Principal/Superintendent Letter and curriculum sections. The completed spreadsheet, including both Spanish and English messages, must be submitted to ODE no later than August 30, 2013.

We know that this type of submission, which requires messages from both Principals and Superintendents, is new, and we wanted to provide time to review the current Report Card prototypes so that you can begin planning for the August submission.

You can find the current Report Card prototypes, along with the Report Card Steering Committee Final Report, on the ODE website at http://www.ode.state.or.us/search/page/?id=3942. Slight changes are still being made to these prototypes and you will be able to view final examples of the elementary, middle, high school, and district Report Cards on July 8, 2013.

Districts will receive the Report Card rating detail sheets by July 11, 2013, which have two years of assessment, growth, and graduation data by subgroup. These are the new version of the AMO reports and should help inform Superintendent and Principal letters. Information submitted in the Supplemental Report Card Data Collection will be displayed in the summary report card previews on the ODE district secure website as early as July 25, 2013.

A WebEx training on how to complete and submit data for this Supplemental Report Card Data Collection will be held on Friday, July 12 at 3:30 PM. This WebEx will follow the Report Card Ratings Detail and Growth WebEx at 2:00 PM. Information about video trainings can be found at https://district.ode.state.or.us/search/page/?ID=226.
