Cumulative ADM End Date Clarification

The Oregon Department of Education has decided to proceed with the following business rules regarding reporting the Cumulative ADM data beginning with the 2011-12 school year. NULL or blank fields will no longer be allowed in the ADM End Date field for the data collection.

For the purposes of ADM reporting, the term "weekday" refers to dates that occur Monday through Friday regardless of whether it is a school, district, federal or state holiday.

For mid-year withdrawals (withdrawals prior to the end of the school year) - the ADM End Date will be the first weekday following the determination of withdrawal or the 11th weekday of absence, whichever is earliest. The date on which the ADM End Date occurs cannot be counted as a day present or a day absent.

For students still enrolled at the end of the period and are expected to return in the following period - the ADM End Date will be the first weekday following the end of the period (periods 1-3, not annual). The date on which the ADM End Date occurs cannot be counted as a day present or a day absent.

In a record indicating receipt of a High School Diploma, the ADM End Date will be the first weekday following the student’s last day of enrollment. There should be no enrollment records in ADM indicating a timeframe (enrollment) after the ADM End Date indicating receipt of a regular high school diploma. The date on which the ADM End Date occurs cannot be counted as a day present or a day absent.

For students enrolled through the end of the school year, the ADM End Date will be the first weekday following the end of the school year. End of the school year in this case means the last day of instruction offered in the regular school year (not summer school). The ADM End Date at the end of the school year cannot be counted as a day present or absent, nor should it be counted as a session day.
